Judging pass entry tool / Judging result entry and filing

Type two numbers and
the pass list builds itself

When judges picked the manuscripts that passed, someone had to read the file name printed at the top of each one and build an Excel list. Copying long names by hand caused typos and gaps, and finding entrants who passed in more than one category was a separate job. The next round also needed a new folder holding only the passing PDFs.

How we planned it

  1. 1

    Only two numbers to type

From the printed file name, staff type only the personal number and the entry number. The tool fills in the category, entry date, entry method, and title. Leading zeros can be skipped, and a hyphen or a period works in place of a space for number pad entry.

  2. 2

One HTML file instead of a command window

The first version was built with Python and batch files, and staff found the command window hard to use. We rebuilt it as a single HTML file that opens in Edge or Chrome. Nothing to install, it works offline, and entries never leave the PC.

  3. 3

    Flag wrong entries right away

Normal entries, entrants who passed in several categories, duplicates, and numbers not found each get their own text color and sound. When the same number exists in more than one category, a picker opens so staff choose the line that matches the printout.

  4. 4

Let several people share the work

Printouts are split by category, each person saves an Excel file, and the files are merged. If two people entered the same work, one copy stays and is marked, and the check for repeat entrants is always done on the merged file.

  5. 5

Version 2.0 files the folders too

We added a step that finds the PDF of every passing work in the source folder and copies it into a new folder by category. That folder becomes the source for the next round, so the same method repeats from round 1 to the finals.

How it works

  • Work list: pick the converted PDF folder and the tool reads only the file names to build the full list.
  • Number entry: type the numbers and press Enter to add a line, then compare the title on screen with the printout.
  • Auto save: every entry is kept on the PC, so closing the window loses nothing.
  • Excel save and merge: saves a pass list sheet and a repeat entrant sheet, and merges files from several people.
  • Gather passing PDFs: originals stay in place and only passing works are copied into a new folder by category.

How we built it

  • It opens as one file in Edge or Chrome with nothing to install.
  • Source PDFs are only copied, never moved or deleted.
  • A manual covers the recommended order for a shared workload and a troubleshooting table.

Results

  • Typing the printed numbers is enough to build the pass list in Excel.
  • Entrants who passed in several categories are flagged at once and listed on their own sheet.
  • The folder for the next round is prepared automatically, so every round follows the same method.
